Job Description
The Estimator / Assistant Project Manager plays a key role in both the pre-construction and active project phases by preparing accurate and competitive cost estimates, coordinating material and labor pricing, and ensuring smooth project setup and documentation. This role requires a detail-oriented professional who can manage multiple priorities, maintain organized records, and ensure the efficient flow of information between internal and external stakeholders.
During active project phases, the Estimator / Assistant Project Manager will work directly with Project Managers, field crews, and third parties to coordinate construction activities for assigned projects. These activities include material ordering; change order pricing, negotiations, and execution; client communication; creation of contract document addenda; and other tasks as directed by the supervising Project Manager.
This position will be external-facing, collaborating regularly with clients, subcontractors, vendors, and other third parties to maintain project alignment and ensure successful execution from estimate through completion.Key Responsibilities
Estimating & Pre-Construction• Analyze architectural and engineering drawings, blueprints, and project specifications to determine material, labor, and equipment requirements.
• Prepare detailed and accurate cost estimates using estimating software, Google Workspace
applications, and Excel/Sheets.
• Solicit, review, and compare quotes from vendors and subcontractors to ensure cost-effectiveness
and compliance with specifications.
• Evaluate proposals, project values, and bid documentation to prepare comprehensive cost
summaries.
• Maintain detailed records of all estimates, takeoffs, and revisions for active and historical projects.
Project Setup & Coordination• Establish job accounts and ensure all project documentation is properly reviewed and distributed to
field and management teams.
• Communicate with suppliers and vendors regarding purchase orders, submittals, and material
deliveries.
• Coordinate with Project Managers and field teams to ensure a seamless handoff from estimating to
project execution.
• Track material shipments, manage delivery schedules, and provide timely updates to relevant
stakeholders
Change Orders & Cost Tracking• Prepare, price, and log change orders; manage negotiations and approvals as directed by the Project Manager.
• Monitor work orders, cost codes, and timesheets to ensure proper job costing and billing accuracy.
• Pre-code and track accounts payable entries related to materials, services, and change orders to
maintain accurate project financials.
Documentation & Closeouts• Compile and prepare closeout documents, including warranties, as-builts, and final cost summaries.
• Maintain organized project records and ensure all contractual and procedural documentation is
completed accurately and on time.
Skills, Knowledge and Expertise
• Bachelor’s degree in Construction Management, Engineering, or a related field preferred, or equivalent work experience.
• 2+ years of experiencein construction estimating, project coordination, or assistant project management (experience with U.S.-based projects strongly preferred).
• Proficiency in Google Workspace applications (Sheets, Docs, Drive, Meet, Calendar), OneDrive, and Airtable.
• Strong analytical, mathematical, and organizational skills with exceptional attention to detail.
• Excellent written and verbal English communication skills.
• Proven ability to manage multiple projects simultaneously under tight deadlines.
• Strong problem-solving skills and a proactive approach to challenges.
Preferred Experience• Familiarity with off-site construction, particularly manufactured housing, is strongly preferred; general contracting experience also acceptable.
• Prior experience with HUD code housing and/or prefab/modular construction utilizing off-site building techniques preferred.
• Background in working with U.S.-based construction or contracting firms
