We’re looking for a detail-oriented, tech-savvy Events & Marketing Operations Assistant who can keep complex workflows running smoothly across virtual and in-person events. If you enjoy coordinating moving pieces, managing tools, and ensuring every event runs flawlessly from planning to follow-up, this role is for you! Salary Range: PHP 85,000 - 100,000 per month Note: Rate/Salary will depend on your current competencies matched to the position’s job description and requirements based on the assessment results. Executive Support & Administration • Manage and optimize the CEO’s calendar, including scheduling, prioritizing requests, and ensuring time efficiency. • Coordinate meetings, calls, and internal/external communications. • Assist with document preparation, follow-ups, and administrative tasks to support leadership productivity. • Maintain confidentiality and act with a high degree of professionalism. 2. Strategic Administrative Projects • Conduct research on HR benefits benchmarking:• Compare competitor benefits • Evaluate market standards • Prepare findings and craft actionable recommendations • Research corporate credit cards, expense management tools, and related financial systems. • Build clear recommendation briefs summarizing findings, tradeoffs, and suggested next steps. • Support additional cross-functional administrative projects as they arise. 3. Competitive Landscape & Market Analysis • Track key competitors and industry players on an ongoing basis. • Research new launches, product updates, strategic moves, and market shifts. • Prepare periodic competitive landscape summaries for leadership. • Monitor industry news and flag emerging trends or insights. 4. Operational Clarity & Organizational Effectiveness • Help establish and maintain meeting best practices:• Structure agendas • Ensure preparation prior to meetings • Capture notes and action items • Track follow-ups and outcomes • Support the CEO in refining meeting cadence, workflow organization, and communication norms. • Assist in creating internal guidelines for communication (email, Slack), documentation, and cross-functional collaboration. • Identify operational bottlenecks and propose solutions to improve efficiency. 5. Special Projects & Cross-Functional Support • Work closely with leadership on high-priority initiatives that may include research, process design, vendor comparison, or internal program development. • Support growth-related projects that require organization, analysis, and execution. • Serve as a general problem solver and “force multiplier” for the CEO and leadership team. • Filling out templates, setting up accounts, etc admin in extra hours Must-Have: • 2–5+ years experience in operations, administrative support, research/analysis, project coordination, or a related field. • Exceptionally strong organizational skills and attention to detail. • Excellent written and verbal communication skills. • Ability to synthesize information, conduct independent research, and present clear recommendations. • Comfort managing multiple projects and deadlines in a fast-moving environment. • High EQ, discretion, and a proactive, solutions-oriented mindset. • Hunger to grow professionally and take on more responsibility over time. CORE TASKS: Event Setup & Pre-Event Execution • Create and manage webinars and virtual events (Zoom, Luma) • Set up forms, landing pages, and workflows in HubSpot; test automations • Enrich audience lists in Clay or other CRM tools • Upload audience segments to LinkedIn, Instantly, and Unify for email outreach • Edit & upload creative content for LinkedIn organic & paid social posts. • Create campaigns in HubSpot and add event/email assets • Coordinate vendors and venues for events and dinners (call/email for availability, confirm logistics) • Manage deliveries via Task Rabbit or Uber Courier, including ordering, tracking, and communication • Duplicate and edit slides; create briefing reports with relevant attendee and event data (Salesforce, Google Sheets) Advanced Webinar & Virtual Event Management • Plan, coordinate, and execute webinars, virtual events, and live sessions from start to finish • Provide administrative and production support immediately before, during, and after live events • Manage creative development process for events:• Maintain accurate list of events with title, topic summary, and key details • Complete templatized creative briefs for registration and follow-up emails Event Follow-Up & Data Management • Clean booth scans, removing non-ICP contacts before upload to HubSpot • Execute post-event HubSpot and personal email follow-ups (Instantly/Unify) • Synthesize meeting notes and update Salesforce and internal spreadsheets • Update Notion pages with event details and outcomes Operational Support • Maintain internal documentation of event processes and updates • Assist in routine administrative and repeatable marketing operations tasks MUST-HAVE: • Familiarity with SOME of these marketing/event technology stack (client is happy to train on specific tools as/if necessary): HubSpot OR Salesforce (both is preferable), Clay (preferred), Instantly, Unify, Zoom, Luma, Task Rabbit, Google Workspace, Notion • Experience managing multiple events simultaneously (virtual, in-person, small and large-scale) • Basic vendor and venue communication skills (calls and emails) • High attention to detail for list management, data entry, and follow-up tasks • Ability to work independently while following clear processes and playbooks • Comfortable working US Eastern Time zone (11am–7pm), with shift hours varying as needed and scheduled ahead for conference/virtual event support.
