The DCX Client Services - Home-Based Regional Gathering Admin will work full-time for a growing U.S.-based business. In this role, you’ll play a vital part in supporting international event operations by coordinating logistics, managing vendor relations, and ensuring the smooth execution of events..

WHAT YOU WILL DO
Event Planning & Coordination
• Create and manage event action plans for Regional Gatherings in Singapore and Nairobi.
• Develop hotel lodging plans and manage room block coordination.
• Update Asana projects with event timelines and deliverables.
• Coordinate with venues for site visits, walkthroughs, and logistics.
• Track vendor contracts and payment schedules in Airtable.
• Maintain a master event checklist and ensure all milestones are met.
• Coordinate hotel bookings for event attendees and speakers.
Communication & Data Management
• Draft and send email invitations for Regional Gatherings.
• Review and finalize event communication materials.
• Update Airtable databases with attendee details (Name, Email, Metro Area, Registration Status).
• Track RSVPs and maintain accurate attendee counts.
• Update event scripts, agendas, and speaker information.
• Manage and track communication with event speakers and maintain up-to-date records.
Vendor Management
• Build and maintain strong relationships with vendors such as:
• Photographers and videographers
• Restaurants and catering services
• Equipment rental companies
• Coordinate vendor deliverables and ensure timely execution.
• Track invoices, payment status, and vendor communications.
• Manage equipment delivery and pickup schedules.
Event Assets & Materials
• Develop and coordinate event supplies, gifts, and equipment lists.
• Collaborate with design partners on print and digital materials.
• Manage production timelines for event collateral.
• Coordinate shipping and delivery of materials to event sites.
• Create signage plans and oversee printing and installation.
• Track inventory of event supplies and materials.
Administrative & Project Coordination
• Support the Partner, Global and Sr. Manager, Global Events with administrative tasks.
• Track deliverables and milestones across global expansion initiatives.
• Take meeting notes and manage scheduling for leadership teams.
• Prepare presentations, reports, and research materials.
• Track and manage action items and follow-ups from leadership meetings.
• Conduct research on new markets and potential event locations.
• Support strategic planning processes through data compilation and document preparation.
WHAT WE LOOK FOR
• Education: Bachelor’s degree in Marketing, Business Administration, or a related field.
• Experience: 1–3 years in Customer Service, Data Entry, Administrative Support, or Event Coordination.
• Technical Skills:
• Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook).
• Proficiency in Google Workspace (Sheets, Docs, Gmail, Calendar).
• Familiarity with Asana and Airtable is an advantage.
• Other Requirements:
• Strong multitasking and prioritization skills.
• Accuracy in handling detailed information.
• Team-oriented, dependable, and proactive attitude.
• Ability to learn and adapt to new tools and systems quickly.
WHAT WE OFFER
• Salary Range: PHP 50,000 – 52,000
• Job Type: Full-time
• Work Shift: 8:00 AM – 5:00 PM CST (USA)
• Work Days: Monday through Friday (USA)
• The role might require supporting different time zones (US/Asia)
